About the role
We are seeking a proactive and detail-oriented Junior Procurement Specialist to support our operations & procurement function. In this role, you will manage the end-to-end flow of procurement documentation, support vendor management, maintain system data integrity, and drive process automation. The ideal candidate is someone who thrives on organization, loves making processes more efficient, and can seamlessly handle both daily administrative tasks and continuous improvement projects.
Key Responsibilities:
Procurement Document & Compliance Management
Signature & Workflow - support the end-to-end flow of documents requiring signatures, including handling the execution process for Non-Disclosure Agreements
Invoicing & Payments - gather invoices, obtain necessary internal approvals, and proactively resolve any payment or billing issues with vendors or finance teams
Contract Repository - expand and maintain our centralized contract repository to ensure all agreements are up-to-date and easily accessible
Staff Augmentation Support - organize and streamline the flow of documents and processes for staff augmentation needs.
Sourcing & Data Maintenance
Market Research - support the procurement lead by searching for and identifying potential new providers and vendors as well as key market trends
Data Integrity - maintain precise, accurate, and up-to-date data across all specific systems
Negotiation & Procurement Support
Drive negotiation targets - support or lead some negotiation with suppliers ensuring outcome is aligned with Key Stakeholders needs
Procurement Process Optimization & Knowledge Management
Automation & Improvement - critically evaluate current procurement workflows to propose and implement process improvements and automations
Process Documentation - prepare comprehensive procurement materials and guides based on given direction & requirements, while continuously improving the visual layout and clarity of instructions or policies
Reporting - support the preparation and delivery of vendor and procurement performance reports
Job requirements
Requirements
Bachelor’s Degree in Finance, Accounting, or Business Administration
2-4 years of experience in procurement support, operations, or a highly transferable administrative/operations role
Full professional proficiency in English
Experience with or a strong interest in low-code automation tools
Excellent written and verbal communication skills
High attention to detail and strong organizational skills
